Shipping Policy Terms & Conditions

PRICING AND IMAGE DISCLAIMER

Occasionally, our listed prices may be incorrect or the bottle size may be incorrect. For example, a 750ml size may be incorrectly priced as a 375ml bottle. When such situations occur, The Saratoga Wine Exchange shall be held harmless for the error. We make every effort to make sure that our product database is accurate, however mistakes do happen. We will not honor an incorrect pricing. In all cases, the customer will be contacted before any charges are made to the credit card for a decision to proceed or not proceed with the order at the correct price. Additionally, we reserve the right to refuse sales if we deem them to be inappropriate and/or unsafe. The product images shown are for illustration purposes only and may not be an exact representation of the product. Saratoga Wine Exchange reserves the right to change product images at any time without notice.

OUR RETURN POLICY

If you believe you have received flawed wine or an incorrect product, contact us within 7 days of the receipt of the order and we will arrange a return shipment of the wine. Upon arrival back at our facility the product will be subject to a staff evaluation. If it is determined that the wine is flawed or does not match the listing on the website, we will offer a replacement. If the product is sound and was originally shipped as listed on the order, you will be responsible for both the original and return shipping charges and a 10% restocking fee.

In the case of flawed wine, please do not continue to open and try bottles as we can only compensate for the 1st opened bottle. All bottles, opened and unopened, must be returned in order to receive credit.

We fill orders based on the listing of the item not the image displayed. If there is a discrepancy over an image on our website, or you question the image, feel free to contact us prior to placing your order. We will not return or exchange an item based on its presented image.

Once an order has been changed to a status of assembled, it cannot be modified. Once an order has left our facility, it cannot be cancelled.

If your order returns to our facility due to unavailability of an adult signature or refusal at the shipping address listed on the order, it will be cancelled and you will be refunded for the bottles returned less the original shipping charges and a 15% restocking fee.

CANCEL OR CHANGE AN ORDER

If you must cancel or change your order for any reason, please contact us via email or phone as soon as possible after placing your order. Once your order is in process, changes will incur a $10 service fee and cancellation will incur a 15% restocking fee. If your order has already shipped please see return policy above.

HOLDS AND IN-STORE PICKUPS

We will hold shipments for up to one season or 3 months, whichever comes first. We understand that some regions of the country experience extreme temperatures in the Winter and Summer months which can potentially damage your wine during shipment. We will gladly hold your Winter or Summer orders until Spring or Fall, respectively, when temperatures are moderate enough for shipping.

In-store pickup is a free option for local customers who would like to pick up in our Ballston Lake, NY store, which is our only location.

VINTAGE CHANGES

Occasionally, some vintages that appear on a web site may be out of stock. When these situations arise, we contact the customer with the following three options, all with no ensuing penalties:

  • Change the order to the current vintage.
  • Delete the out-of-stock item from the order.
  • Cancel the order entirely.

SALES TAX

All wine is sold in the State of New York, and the title passes to the buyer in New York. As such, the appropriate sales tax for the county of destination will be charged on all products shipped within New York State.

LEGAL

By placing an order with The Saratoga Wine Exchange, purchaser authorizes The Saratoga Wine Exchange to act on buyer’s behalf to engage a common carrier to deliver buyer’s order.

Title to, and ownership of, all wine passes from The Saratoga Wine Exchange to the purchaser in the State of New York and the purchaser takes all responsibility for the import of the package from New York to his/her home state. Since we own all of our inventory and therefore arrange for transportation of the wine, The Saratoga Wine Exchange is providing a service to, and acting on behalf of the purchaser. By utilizing this service from The Saratoga Wine Exchange, the purchaser is representing that he/she is acting in a fashion compliant with his/her local and state laws regarding the purchase, transportation, and delivery of wine.

The Saratoga Wine Exchange automatically adds insurance to each order placed. This covers you from any package lost or damaged in transit. The purchaser represents that he/she has obtained all required permissions, paid all required fees, is working through properly licensed intermediaries, is legally entitled to take possession of wine, is legally entitled to take quantities ordered, and authorizes that he/she is 21 years of age. The Saratoga Wine Exchange makes no representation to the legal rights of anyone to ship or import alcoholic beverages into any state outside of New York.

PAYMENT METHOD

For security purposes, any orders totaling over $5000 may require a banking wire-transfer at management discretion. Wire transfer information will be provided when necessary.

PRE-ARRIVAL ORDERS

Pre-Arrival Returns, Refunds, and Terms and Conditions

Refunds, returns and/or exchanges for pre-arrival orders will only be accepted in the case of an error in shipping or receiving by Saratoga Wine Exchange and their staff. Otherwise, all sales are final.

We procure our wines from well established companies and we pay for refrigerated shipping from Europe all the way to our doors. We offer a cold pack upgrade and will hold items due to extreme weather conditions, ensuring your item is handled with care and reliability throughout its journey.

“Corked” wines account for approximately 3% of all wood/bark cork wines production and we cannot control this naturally occurring issue. This risk and liability exists on domestic and overseas purchases alike, however with pre-arrival purchases there is not a quick and timely way for the distributor to return and refund bad bottles, ergo, our firm stance on all sales being final.
